You can import your existing inventory into Booqable by uploading a CSV or Excel file.

Important: The importer does not update inventory levels for existing products. When you import products that already exist in your Booqable account, the quantities found in your spreadsheet are added to those products' inventory levels.

To import a CSV or Excel file: 

  1. Click Products from the main menu

  2. Click Import from the left sidebar

  3. Upload your file. 

  4. Map or Skip Columns in the Importer

  5. Click Finish Mapping once all columns are mapped

  6. Double-check your mapping then click on Start Import

Note: you can use CSV or Excel formatted spreadsheets only. If your spreadsheet is not uploading, make sure to convert the spreadsheet to CSV or Excel formats.

Not sure where to start? 

The first line of your spreadsheet should contain headers.
You can create your own spreadsheet, or you can download a sample product CSV file to use as a template for creating your own!
Remember to remove the example products.

What can I import?

The Booqable importer allows for importing of Bulk and Trackable Product types. Service Items and Consumables should be made manually.

Both Bulk and Trackable items can be imported using one single spreadsheet.

To import trackable items of a product, create a row for each separate stock item. The items should have identical names in the name column, a quantity of 1, and a unique identifier (like a serial number).

Bulk items have no identifier (no serial number) and may have higher quantities.

Note: If your product has a large quantity but also a serial number, the import will only add a quantity of 1. 

Tip: If all your products are bulk, you will want to skip the identifier step during column mapping

Mapping columns

Follow the steps to map your columns:

  1. First map the Name column

  2. Map the Identifier column (skip this step for bulk only products)

  3. Map the Quantity column

  4. Map the Price column

  5. Map the Tags column

  6. Map other columns (if you have others)

During Step 6  you will be able to map additional columns or adjust previously mapped columns.
When you hover over a column that has not yet been selected you will get a blue button that said "Choose this column"

When you click on that, you will get a pop up for the options for the column to be mapped to

Guide to Mappable attributes

  • Name (required)
    A name is required for all products stored in Booqable.

  • Location (required)
    If you have multiple locations set up in your Booqable account, you need to specify the location for each product. Make sure the location names in your spreadsheet are an exact match (case-sensitive) with the location names in your Booqable account.

  • Identifier
    When you map an identifier, the product is imported as a trackable product. When no identifier is found, the product is imported as a bulk product.

  • Quantity
    Determines the number of stock items in your inventory.
    Trackable stock items always have a quantity of 1.

  • Price
    Prices are imported as a flat rate (per day).
    This can be edited per product once your products have been imported

  • Images
    Import up to 4 images per product. Add each image URL in a separate column.

  • Tags
    Tags (comma-separated) help you categorize your inventory.

  • SKU (Stock Keeping Unit)
    A code that helps you to keep track of your inventory.

  • Padding time (after) (in hours) And/Or Padding time (before)
    The time before and after each booking that the product remains unavailable for other bookings.
    These are two separate mappable columns. If you want some before and some after, you will want to add two separate columns to your spreadsheet.

  • Barcode
    All barcodes are imported as type Code 128 barcodes.

  • Description on documents
    Product description for documents (you can list accessories here for example).

  • Description in Online Store
    Product description in your online store.

  • Text field
    Any other information you map will be added as custom fields (data-type text).

Planning on Using Variations in some products?

Variations cannot be imported at this time. We recommend importing one initial part of the product which you will want to have variations on. Once the import is successful you will want to add the variations then add the stock items for the other variations.
The initial stock that is imported will all automatically become the first variation you add to the product. 


  1. You have a bike. It comes in Red, Green, and Blue

  2. You will want to add the product name of Bike as the name for your import file. You will then want to add the stock for just one of the colors (for example just red, so if you have 4 red bikes you would add 4 of that stock).

  3. Once the import is completed you will go into the Bike product and go to the variation settings of the Bike. You will enable variations and add a new property (in this example color.) Your first color property will be Red. This will automatically assign all current stock to red.

  4. You can then create the other two colors of Green and Blue and then create the new stock items for those on the inventory tab of that product
