How to schedule downtime for your products

Downtime lets you officially schedule periods when products are unavailable for rent, for example during maintenance, repairs, or when an item is missing.


It keeps your availability accurate and prevents double booking across your system.


Scheduling downtime

You can schedule downtime directly from your Inventory.

For individually tracked products

  1. Go to Inventory → [Tracked product].

  2. Click the three dots next to the stock item.

  3. Select Schedule downtime.


For products tracked in bulk

  1. Go to Inventory → [Product tracked in bulk].

  2. Click Schedule downtime next to the bulk item.


When scheduling, you can

  • Choose a reason: Maintenance, Repair, or Missing

  • Set a time period (start and end date and time)

  • For bulk products, define the quantity affected

  • Choose to start immediately or schedule for later

💡 Tip: Create separate downtimes for repeated maintenance intervals.


Downtime statuses

You can view and manage all downtime records from:

  • Inventory → Product → Downtime tab (for a specific product)

  • Inventory → Downtime tab (for all products)

Downtimes move through a simple lifecycle that updates inventory automatically:

  • Scheduled: Click Start when maintenance begins

  • Started: Click Stop when maintenance completes

  • Ended: Click Undo end to reopen if ended by mistake

  • Cancelled: Click Cancel if downtime is no longer needed


Editing downtime

Depending on its status, you can:

  • Adjust dates, times, quantities, or reasons for scheduled downtimes

  • Extend or shorten the end time for started downtimes

  • View details of ended or cancelled downtimes


Monitoring on the dashboard

The dashboard highlights downtimes that are starting, ending, or overdue, helping your team stay on top of maintenance.



Availability and reporting

Downtimes are fully integrated into your availability and reporting views.

  • Downtime periods appear as blocked in the calendar and availability screens

  • In the Product Performance report, you can track:

    • Downtime count (how many times a product was unavailable)

    • Downtime duration (total hours or days offline)


Troubleshooting and FAQs

Does downtime affect availability right away?
Yes. Once downtime starts, availability updates immediately across Booqable.

Can I edit an ongoing downtime?
You can adjust the end time of a started downtime.

Can I undo an ended downtime?
Yes, click Undo end to reopen it.

What happens if a product is still on an order when I try to start downtime?
Booqable automatically detects conflicts and shows which orders are blocking the item.

Do I need special permissions to use downtime?
Yes. Users need the Manage product and stock permission to create, edit, or manage downtime.
