How to set up a custom email sender address

Send emails from Booqable using your own business email address.

By default, emails sent through Booqable come from a Booqable email address. You can set up your own sending address so customers see your business email address as the sender.

This helps customers recognize your emails and gives your business a more consistent appearance.

How it works

Before you start

You'll need:

  • An email address on a domain you own, such as [email protected].

  • Access to your domain's DNS settings, usually managed by your domain or hosting provider.

Email addresses on domains such as @gmail.com or @outlook.com, aren't supported. However, you can use an email address hosted by Google Workspace or Microsoft 365 if you own the domain.

💡Note: Email replies are sent to your company email address configured in Settings > General. This address is also used as contact information on your documents.

Enter your custom email sender address

  1. Go to Settings > Emails > Sending address.

  2. Click Configure email address.

  3. Enter the email address you want to send emails from.

  4. Click Continue.

Add the DNS records to your domain

  1. Log in to your domain provider and open your DNS settings. Add the records shown in Booqable to verify your domain and allow Booqable to send emails from it.

    For each record, you'll find:

    • Type: The DNS record type, such as TXT or CNAME.

    • Name: The hostname where the record should be added.

    • Value: The value to enter for that record.

💡Important: Some domain providers automatically add your domain name to DNS records. For example, if Booqable shows pm-bounces.example.com, you may only need to enter pm-bounces. For records on your main domain, some providers require @ or an empty hostname field.

Start sending emails from your address

Once all required DNS records are verified, your custom sending address is ready to use.

  1. Click the Check setup button to verify that the records are properly set up. If everything is correct, you will see a green Verified label with a checkmark next to each record.

  2. If your settings are still pending, you may need to wait for the changes to your settings to propagate. Click Retry verification if you want to recheck to see if your email sender is set up.

💡 Note: Any changes made to your domain settings can take up to 48 hours to propagate.

  3. Once each of your DNS settings are verified, your custom email sender address is all set up!

  4. We recommend sending yourself a test email through Booqable to make sure you see the correct sender address.

How to remove your custom email sender address

If you no longer want to send emails from your own address, follow these steps:

  1. Go to Settings > Emails > Sending address.

  2. Click Edit email address.

  3. Click Remove email address and confirm.

Booqable will then resume sending emails from its default sending address.

You can set up a custom sending address again whenever you need to.

Troubleshooting

Why are my DNS records still pending?

DNS changes can take some time to become available.

Check that you've selected the correct record types and entered the names and values exactly as required by your domain provider.

Keep in mind that some providers automatically append your domain name to record names.

After making any corrections, return to Booqable and click Retry.

Why are emails still being sent from Booqable's default address?

Your custom sending address may not be fully verified yet.

Go to Settings > Emails, open your sending address configuration, and check that all required DNS records are verified.

If any records are still pending, review your domain settings and try verification again.

What happens if my domain settings change after verification?

Once your domain has been successfully connected, Booqable checks its configuration once every 24 hours.

If you remove or change the DNS records required for email authentication, Booqable may not detect the change immediately. Emails sent from your custom address may be affected in the meantime.

If Booqable detects that your sending configuration is no longer valid, it can revert to the default sending address.

If you suspect that your custom sending address has stopped working, check your DNS settings. You can also manually remove the custom sending address in Booqable to return to the default sending address immediately.

Why can't I use my email address?

To send emails from your own address, you need to be able to configure the DNS settings for its domain.

This means you can't use addresses from providers like Gmail or Outlook.com, or other domains you don't control.

You'll need an email address on a domain you own, such as [email protected].

Where do customer replies go?

Customer replies are sent to the company email address configured in Settings > General, not necessarily to your custom sending address.

For example:

Customers will receive emails from [email protected], but their replies will go to [email protected].

You can change your company email address in Settings > General. Keep in mind that this address is also used in your documents.
