Every product in Booqable falls under one of two tracking methods. You can add products as trackable items, which contain stock items you can track individually by using a unique identifier. Or you can add them as bulk items, which only tracks a product's quantity (without separating each stock item).

Here's a real-life example of each tracking method:

  • Trackable items: Let's say you own three Sony FS7 cameras, and you want to know which customer had which exact one. That's when you select trackable. When a customer picks up an FS7, you have to specify which of the three you're checking out based on their identifier.

  • Bulk items: For bulk products, we'll use cutlery as an example. If you rent out cutlery, you wouldn't want to specify each fork or knife that goes out with a customer. It's too much work, and you don't need detailed reporting for each fork and knife.

Adding a product

  1. Click Products and click Add a new product.

  2. Enter the product name as you want your customers to see it, and upload an image (or use Booqable's image search).

  3. Now, choose the tracking method for this product. For trackable items: You can add identifiers to stock items in the next step.

  4. Choose the pricing method you want to use for this product. Need a more advanced pricing method? You can set this up after you create a product. 

Regular, expected, and temporary stock

After you create a product, you'll see the inventory screen. This screen displays two different sections: Regular stock and Expected or temporary stock. Here's the difference between each type:

  • Regular stock: These items will be in your inventory indefinitely (until you remove or archive them). It's the default type for newly created products.

  • Expected stock: Stock you expect to own in the future. You can choose the date from which date these items will be available in your inventory (great if you purchase more stock for future orders).

  • Temporary stock: These items will be part of your inventory for a predefined date range. Booqable automatically adds and removes stock based on the available from and available until dates (perfect for sub-rentals).

Adding and removing trackable stock items

When you create a trackable product, Booqable automatically generates randomized identifiers for your stock items. Identifiers help you distinguish individual items, so you can easily track their location, history, and utilization. Need something different than auto-generated IDs? You can change them afterward. We recommend changing the identifiers to something short and recognizable.

  • Click Add stock item.

  • If you have variations, you need to select the variation you are adding.

  • Enter the desired number of stock items.

  • Choose the available from and available until dates to create expected or temporary stock. Don't select dates to add regular items.

  • Click Add stock items.

  • To remove stock, click the Archive button at the end of the row, which decommissions the stock item.

Note: Booqable will prevent you from removing items when they're reserved or picked up on current and future orders. Archiving stock preserves historical data.

Adding and removing bulk items

For bulk products, you don't track individual stock items. You only define a product's quantities. You can see how many you have available or out with customers in real-time.

  1. Click the Plus-minus button.

  2. Specify the number of items you want to add or deduct from your inventory. 

  3. Click Adjust stock.

You can add expected or temporary stock by navigating to the Expected and temporary stock tab, and click Add stock from there.

Allowing shortages

For each product, you can allow shortages. This setting lets you to reserve more items than you have available, which you define on a product level. If you have shortages disabled, Booqable will prevent you from overbooking and block you from reserving the order. Here's how to allow shortages for a product:

  1. Click on a Product and navigate to Settings.

  2. Under Settings, select Allow shortage.

  3. Enter a shortage limit (the maximum allowed shortage for any date range).

Deleting products

In most cases, you'll want to archive stock items instead of removing products entirely. If you do want to delete a product:

  1. Click on the product you want to delete.

  2. Click the Settings tab.

  3. Click Delete product at the bottom of the page.

Booqable protects you from accidentally deleting products that are reserved or picked up on current and future orders. Deleting a product also removes any related historical data.
