How to add products to an order

Adding products to an order in Booqable is an essential first step to successfully processing rental orders, managing your availability, and running your rental business.

How it works

The following guide is for those who wish to learn how to add products to a manual order, being the orders you and your team process in Booqable itself.

For online orders, customers will add products to their cart themselves, which will come through an an order in your Booqable account automatically.

1. Adding bulk items to an order

Adding bulk items to orders is easy. Search for the product name or tag, and click Add product.

If you've selected a rental period in advance, you'll see how many you have available. 

2. Adding individually tracked items to an order

You can add trackable products to an order in two ways.

  • Click Add product to reserve the general product, and decide which specific item you're giving out later.

  • Click one of the individual stock items to specify which specific items you'll be giving out in advance.

If you selected a rental period, you'll see how many items you have available for that period, and which exact stock items are available.

Green stock items are available, red items are unavailable, and gray items are already on the order.

Assign trackable stock items efficiently

When an order requires a certain quantity of a product, you don’t always need to decide immediately which exact stock item will fulfill it.

Keeping stock items unspecified gives you more flexibility to distribute them efficiently across your orders. Assigning them without considering other rental periods can split availability across individual items, even when you have enough stock overall.

Example

Imagine you have two identical bikes:

  • Order 1 needs one bike on Monday.

  • Order 2 needs one bike on Tuesday.

  • Order 3 needs one bike from Monday through Tuesday.

If you assign Bike A to Order 1 and Bike B to Order 2, neither bike is available for the full Monday–Tuesday period. This creates an availability conflict for Order 3.

But the orders themselves only require two bikes at the same time.

If Bike A is used for both Order 1 and Order 2, one after the other, Bike B remains available for Order 3 for the entire two-day period.

Nothing about your inventory or your orders has changed. The difference is simply how the stock items are assigned.

Keep your stock flexible

When the exact stock item doesn’t matter yet, leaving it unspecified gives you more freedom to choose the most efficient assignment later.

This can help you:

  • Make better use of interchangeable stock.

  • Preserve continuous availability for longer orders.

  • Avoid unnecessary scheduling conflicts.

  • Adapt when stock is damaged, unavailable, or needs maintenance.

For many rental businesses, a good time to specify the exact stock item is when preparing or handing over the order. However, assigning earlier is perfectly fine when you already know which item should be used or when a specific item requires preparation.

3. Adding bundles to an order

To add a bundle to an order, search the name or tag, and click Add product.

If you want to see how many are available, make sure to select a rental period first.

4. Adjusting bulk product quantities

If you added a bulk product or didn't specify stock items, you can simply adjust the quantity.

If you added specific stock items however, the only way to lower the quantity is by removing those specific stock items from the order.

5. Adjusting bundle contents quantities

You can adjust the quantity of bundles overall, but you can also adjust quantities of their contents.

If you change a bundle content's quantity from the default amount, then a slash number will appear to show the original configuration of the bundle.

Also, bundle contents can be removed from the order by clicking on the 'x' button next to the item. The product will be greyed out and the quantity changed to 0.

If you click on the Add button to add the product back to the bundle, it will always add a quantity of 1 so make sure to adjust the quantity using the quantity selector.
