Learn how to navigate your new rental software through this glossary of common Booqable terms.

This glossary is a great place to get familiar with Booqable's key features and the terminology used in the app and our Help Center.

A

Availability

The number of items that can be rented out in any given rental period.
Whether a product is available depends on the total inventory count, the number of reserved items, and (optionally) buffer time.

Availability calendar

If you have availability enabled in your online store, you can integrate an availability calendar to show your customers when you have products available. In addition, you can choose whether or not you would like to show the quantities available.


B

Barcode

Barcodes are used to quickly add products to a rental order and prevent human error when customers pick up or return rental items.

Booking

When someone reserves products, a booking is made. This is one of the options you can choose in label personalization to determine what this action is called throughout your Booqable account.

Buffer time

Apply buffer time to a product to make it temporarily unavailable before or after rental orders.
Buffer time ensures you have time between rentals, so you can perform maintenance on a bike or charge a camera's batteries, for example.

Bulk

A tracking method for products where you don't distinguish individual stock items.
If you rent out cutlery, for example, you would not assign each fork a number and specify which exact forks a customer rents. Bulk is the opposite of individually trackable items, where you want to know who rented which specific stock item.

Bulk operations

Bulk operations let you select multiple orders, customers, or products and update one or more of their properties simultaneously.

C

Calendar

A visual representation of your product's availability. The calendar shows the availability of your products for any date range and any reserved, picked up or returned rental orders they're on.

You can subscribe to the calendar feed to add your rental orders to dozens of desktop, mobile, and web calendar applications. 

Checkout

The page in your online store where customers complete and (optionally) pay for their rental orders.

Client

Someone or a company that rents items from your business. This is one of the options you can choose in label personalization to determine what this action is called throughout your Booqable account.

Company

Your rental business, no matter if you rent out products to customers or other companies or use Booqable to lend out items internally. 

Consumable

Items you sell and are not expected to be returned after a rental. For example, you may include a bottle of water with a bike rental, confetti for a wedding, or gaffer tape with a camera rental. The inventory for consumables isn't tracked and cannot be marked as picked up or returned.

Collections

Method to organize your products on the backend. Collections can be used to display groups of products on both Booqable and 3rd party websites.

Contract

A document that customers can sign, agreeing to your terms, a rental period, and the items on an order.

Coupon code

Coupon codes allow you to discount rental orders (a percentage or a monetary amount). Coupons can be redeemed online during checkout or applied to an order in Booqable.

Credit card charge

Completing a card transaction involves two steps: 1) authorizing the payment and 2) settling the transaction. Funds aren't transferred from the cardholder to the merchant in the authorization process. Both steps are carried out in one go when performing a credit card charge in Booqable.

Credit card hold

Also known as card authorizations or pre-authorizations (pre-auths), a hold temporarily decreases the consumer's available credit limit in anticipation of completing the transaction. The card issuer guarantees the funds, and the amount is held on the customer's card for up to seven days. If the charge is not captured within this time, the authorization is canceled, and funds are released. 

Credit card holds can save you money by preventing the need to issue refunds, which is especially useful for use with security deposits.  

Custom CSS

Use custom CSS to customize the appearance of your documents. It allows you to add your CSS styles, overriding the default styling of your documents.

Custom field

Custom fields let you store and collect additional information about orders, customers, and products. You can create a field for a birthday, delivery location, or anything important to your company and workflow. Information can be captured from your online store's checkout, displayed on documents, used in email templates, and included in exports.

Custom line

Add custom lines to orders for anything that's not part of your inventory. You can add custom fields for set-up costs, replacements, or other one-off items you don't track within Booqable.

Customer

A customer can be a company, a person (a consumer,  a student, or an employee in your company) to whom you rent out your products.

Customer account

By default, Booqable creates a new customer for every online order. Customers can create an account and log in during checkout. This applies customer settings (like taxes and discounts) and prevents duplicate customers.


D

Default order times

The times of day that are applied to new rental orders by default, both in Booqable and your online store.

Document

Customer-facing documents like quotes, invoices, and contracts.
Documents are generated from the contents of an order and can be printed, downloaded as PDFs, or emailed to customers.  

Down payment / partial payment

Partial payment for an order. For example, you may charge 50% of the order amount from the checkout of your online store and the remainder when customers come to pick up their rental order.

Draft order

A draft order that is saved in Booqable so you (and your team) can view it, but the items on the order are not reserved yet.


E

Email template

A starting point for email messages. Templates can populate with order information automatically, saving time spent on creating similar messages repeatedly.

Expected stock

Stock in your inventory that will become available after a specific date. This is useful for purchase orders, for example. The expected stock becomes regular stock after the "available from" date.

Exports

Downloadable CSV or Excel files of your orders, documents, customers, and products.
Exports can be used to create custom reporting, for example.


F

Facebook Pixel

The Facebook pixel tracks activity in your online store, helping you understand and target (potential) customers for ads.

Favicon

A favicon is a small square image that appears on a website's browser tab, to the left of the site title.

G

Google Analytics

With Google Analytics, you can track visitors, sessions, and other behavior in your Online store.

H

Hosted store

Your Booqable account comes with an online rental store where customers can view your catalog and place rental orders 24/7.


I

Identifier

Identifiers are used to tell individual (trackable) stock items apart. They help keep track of which exact items are rented out.

Inventory

The total stock you have for a product. A product's inventory can be tracked individually or in bulk.

Invoice

Invoices are documents listing order details and the sum due. Like other documents, invoices are populated automatically based on an order's contents.

L

Location

A location is a place (like a store) where customers pick up and return orders or a warehouse that only stocks inventory.


M

Mixed

The order status "Mixed" is displayed when products on an order have multiple statuses.

For example, some items on the order are picked up, and others are returned.


N

Note

A note is a short message for yourself or your team. You can leave notes at various places throughout Booqable (like orders, customers, products, or individual stock items). 


O

Online reservations

Online reservations are rentals from the web (either your website or the Booqable-hosted store).

Order

When someone reserves products, an order is made. This is one of the options you can choose in label personalization to determine what this action is called throughout your Booqable account.

Overdue

Orders picked up or returned later than expected appear in the overdue tab on the Orders page.


P

Packing slip

Packing slips are documents that list all items that are in an order. For example, they can be used internally (when preparing an order for a rental) or handed out to customers.

Payment

You can accept online payments for orders and invoices by connecting to a payment provider or manually registering any payment made outside of Booqable.

Payment provider

Connect to payment providers to accept various payment methods (like credit cards or bank-based payments such as iDEAL).

Picked up 

A status for orders and a product's inventory, indicating that the items are out with your customer.

Pricing structure

Price products using a structure (for example, $50 for the first day and $25 for each extra day).

Product

Products are the rental items, services, and consumables in your Booqable account.

Project

When someone reserves products, a project is made. This is one of the options you can choose in label personalization to determine what this action is called throughout your Booqable account.

Proposal

A document generated from an order gives the estimated cost for a particular rental order. This is one of the options you can choose in label personalization to determine what this action is called throughout your Booqable account.

Pull Sheet

Pull sheets are documents that list all items that are on an order. This is one of the options you can choose in label personalization to determine what this action is called throughout your Booqable account.


Q

QR code

A barcode type that can be assigned to products, stock items, and customers.
Booqable generates a QR code for every order; it's displayed on packing slips and can be added to email templates.

Quote

A document generated from an order gives the estimated cost for a particular rental order.


R

Rental item

A product that's expected to be returned after a rental period ends.
Inventory levels for rental items are tracked, and Booqable calculates their availability for any given rental period.

Rental period

The period between the instant an order is expected to be picked up and when it's scheduled to be returned. When you reserve an order, items are unavailable for other orders during this period.

Report

See how your products perform (the times they're rented out and the turnover they generate in any given period).

Reserved

A status for orders and a product's inventory. Reserved items are booked for a particular order and are unavailable for other orders during the same period.

Returned

A status for orders and a product inventory indicating that your customer returned the items to you. Items returned early are available for other orders, even if the rental period has not elapsed.


S

Security deposit

A security deposit (also called a damage deposit, bond, or deposit) is an amount of money paid concerning a rental item to ensure it is returned in good condition. Security deposits are intended to be returned after a rental order.

Service

Any services that you may offer with your rentals. For example, you may provide set-up costs when renting out tents. In your online store, services are added as a toggle switch in your shopping cart.
The service inventory is not tracked, and services cannot be marked as picked up or returned. 

Shop

Booqable allows you to create an online shop using the Booqable website builder, as well as install Booqable on a third-party website if you decide to use your own website to accept bookings. Please note that the checkout will happen through Booqable.

Shortage

A situation where you do not have sufficient stock available for a given rental period. 

By default, Booqable prevents shortages, but you can allow shortages on a per-product basis.

Shortage limit

A product’s shortage limit defines the maximum shortage allowed to reserve it on an order.

For example, a shortage limit of 2 lets you reserve two items more than you have available.

SKU (Stock keeping unit)

SKU numbers help you to organize, find, and identify your products.

SKUs often act as an abbreviation of product details. For example, a red mountain bike with 26" tires could have the SKU number "MB-R-26".

Stock items

The individual items from the inventory of a product. Stock items have an identifier used to (you guessed it) identify them.

Choose "Track individual items" when creating a new product to keep track of individual stock items.

Student

Someone or a company that rents items from your business. This is one of the options you can choose in label personalization to determine what this action is called throughout your Booqable account.

SCA (Strong Customer Authentication)

SCA is a requirement to reduce fraud and provide more security for online payments.


T

Tags

Tags are used to organize and identify products, customers, or orders by specific keywords.

For example, you may supply a mountain bike with the tags bike, mountain bike, and outdoor. That way, it will show up when you search for all your outdoor equipment, all bikes, or just all mountain bikes. 

You can also use tags to render lists of specific products in your online store.

Tax profile

Booqable lets you create tax profiles for products and customers. Once you have created a tax profile, you can apply it to multiple products or customers.

Template pricing structure

A template pricing structure is a reusable pricing structure that you can apply to multiple products. Template pricing structures use a multiplier to calculate the final price.
For example, you may charge the full price for the first day and half the price for each extra day.

  • 1 day: 1 x (price)

  • Each extra day: 0,5 x (price)

Temporary stock

Stock in your inventory that will not be available to rent after a specific date.
Useful for items you sub-rent, for example.
Temporary stock is not automatically removed from your inventory at the "until" date but won't be available for rental orders after that period.

Theme

The base theme you use in your online store if you use Booqable's website builder. This can be edited with your own layout, content, and imagery.

Trackable

A tracking method for products where you keep track of individual stock items.

Use case: if you rent out cameras, you'll want to give each camera an identifier (like a number). If a camera is returned damaged, you'll know who rented that exact camera from you.

Tracking

Start tracking events in your online store to measure performance and collect audience data through Google Analytics and Facebook Pixel.

Transfers

When you have multiple locations that share inventory in a cluster, Booqable may generate transfers when items are needed at a different location.


V

Variations

Create variations when a product comes in multiple variants, like colors or sizes. Each product variation has its own inventory count.

W

Waiver
